Description: Job Responsibility:
  • General:
  • To ensure the smooth operation of company Sanctuary and all related guest services.
  • To ensure that each spa treatment area remains good condition in terms of cleanliness and spa
  • presentation standard to create relaxing ambience and a high quality guest spa experience.
  • To develop treatments, retreats and other spa wellness ideas for the guests. Propose treatment
  • updates or changes in pricing strategies when required. All changes go through GM and Creative
  • Director.
  • Meet all guests on arrival at company to offer personalized, bespoke spa experience.
  • Conduct consultations with all guests and ensure that their experience lives up to the Vision of
  • company Spa Sanctuary.
  • Resolve any departmental operational related issues in a timely and professional manner.
  • Oversee the use of available resource efficiently, such as therapists, treatment rooms etc.
  • Oversee the whole spa operation and liaise with the company team members to
  • ensure smooth flow of communication between all departments.
  • Manage inventory and stock control including re-ordering the items whenever necessary.
  • Manage all spa reservations, therapist availability, roster and schedule based on resort occupancy.
  • Conduct one complimentary sunrise yoga classes per day and actively sell private yoga lessons
  • with the exception of day off.
  • Design bespoke programmes for guests who request one-on-one instruction.
  • Write proposals including costs and manage all details for visiting practitioners.
  • Administration
  • Ensure proper filling systems are in place for all administrative documentation
  • Understand and update all Spa Standard Operating Procedures as required.
  • When new treatments or activities are created, write Standard Operating Procedures to align
  • with these activities.
  • Document all training undertaken within your team.
  • Manage all departmental rosters, master attendance sheet, leave forms for your department.
  • Manage all budgets and revenue reports for your department.
  • Ensure that each team member understands the policies and procedures relating to Spa and its
  • activities.
  • Team & Team Development
  • Set Key Performance Indicators (KPIs) for your team members.
  • Conduct daily briefings and monthly meetings with your team to ensure flow of communication
  • from the top down.
  • Ensure that all the team undergo all necessary training to support their roles.
  • Ensure that all team members are aware and understand the Standard Operating Procedures
  • relating to their role.
  • Ensure that each team member understands all of the treatments and spa services available and
  • are able to conduct guest consultations.
  • Conduct a team building activity once a month.
  • Conduct team appraisals on a regular basis as advised by HR Manager.
  • Finance
  • Complete monthly financial reports, month end P&L reports, and oversee inventories and other
  • related financial reports.
  • Prepare capital expenditure forecasts (training/equipment) as requested to ensure that budgets
  • are sufficient for the coming year.
  • Monitor the operational budgets to ensure that budget targets are met.
  • Monitor cost control and reducing costs and wastage whilst still delivering the highest standards
  • of service.
  • Assist in preparing the department’s annual sales plan.
  • Ensure the correct implementation of all cash handling procedures.
  • Communication & Team Recognition
  • Organize effective meetings within department and with other HODs to enable information to
  • flow smoothly and accurately.
  • Always promote open communication within the property.
  • Be open to receive feedback from others and be able to provide constructive feedback to others.
  • Always follow the correct line of communication, day-to-day issues on property must be
  • communicated through the Guest Experience Department.
  • Be a mentor to your direct reports and advise them whenever necessary. Help to motivate them
  • to achieve a high standard of performance at all times.
  • Follow all rules relating to confidentiality of property and company information.
  • Lead by Example
  • Understand the product image the company aims to project and ensure that image is reflected
  • in every aspect of the manner in which you manage your department.
  • Act as an ambassador for company brand, embody its values and beliefs and demonstrate
  • these through your behavior.
  • Maintain professional grooming according to our grooming standards.
