Description: Job Responsibilities:
  • Receives visitors to the company by obtaining clearance from company personnel concerned, directing visitors to appropriate office or waiting area, and maintaining a log of all visitors.
  • Ensures that visiting dignitaries and other visitors with special requirements are received with appropriate protocol and that the host is notified of arrival.
  • Receives and logs all documents received from outside sources.
  • Arrange air ticket for staff, mission, consultant, gov’t participants
  • Manage the rooms reservations for video conference and meeting ensuring no conflict schedule
  • Arrange flowers/snacks/coffee break/ lunch for meeting as requested
  • Manage pouches ensuring that incoming pouch are logged, properly distributed and that outgoing pouch are logged and delivered on time;
  • Coordinate with staff on shipment ( incoming and outgoing) ensuring the incoming shipment are properly distributed and that outgoing shipment are delivered
  • Ensure that the ADB Publications display in a waiting room are properly maintained with the existing system;
Job Requirements:
  • Bachelor’s degree
  • At least 3 years’ experience in a private or public organization,
  • Good interpersonal and communication skills
  • Fluent in English communications
  • Good typing, memo composition and editing skills
  • Good computer skills especially MS Word, Excel and Power Point
  • Familiar with computer systems generally used in multilateral organizations
  • Able to liaise and work effectively with staff within own work location
  • Able to work collaboratively with teams as a constructive team member
  • Able to manage priorities and workload within the general schedule of work, instructions and standardized practices
  • Able to maintain composure under pressure
  • Good oral and written communication skills in English
